PTO Today Parent Group Expos -  Terms and Conditions  Live shows


Mandatory – Please read and check below to accept terms. 
Exhibitor agrees not to dismantle or pack up any part of his exhibit prior to the closing of the exhibit hall.
Contract for space: Exhibitor agrees to pay the space rental fees as as follows:

Assignments of Booth Space & Booth #’s: PTO Today determines all booth assignments and is the sole authority to assign space in the best interests of the show. We take into consideration the use of competitive separation for exhibitors when organizing space. Booth numbers will be provided at time of set-up, before the start of each event.


Cancellations: All reservations are final. Booth fees are non refundable under any circumstances. Please keep this in mind when registering.  PTO Today may cancel this Agreement or any of the services or products to be provided under this agreement at any time with or without cause by giving notice to Exhibitor along with the effective date of the cancellation.   In such case, the Exhibitor shall be entitled to receive a refund of all prepayments received for the booth(s) reserved at the cancelled event.


Cancellation by Organizer: Any Exhibitor failing to make required payments on time will, at the discretion of the Organizer, have his rights to booth space cancelled without further notice and without obligation to refund moneys previously paid.  If you selected pay-by-check, please note payment must be received in our office 14 days from registration.  

Qualification of Exhibitors: Acceptance of an exhibitor application is at the sole discretion of PTO Today. Exhibitor agrees to advertise and/or display only such products / services that relate to the PTO industry and that are intended for, used in a manner that conforms to Local, State, Federal or other applicable laws or regulations. All Exhibits must be ready for public display and all packing materials away from the booth area 30 minutes prior to exhibit hall opening. Nothing may be attached to any surface (e.g. walls, floors, columns, etc.) of the exhibit venue.

Exhibitors agree to confine all sales activities to the rented exhibit space. No activities are permitted outside the booth area, including (but not limited to) the aisles, walls and grounds of the exhibit venue. There is a likelihood that Exhibitors may be exhibiting in close proximity to competitors. All courtesy is expected and required. Exhibitor further agrees that any audio, lighting and/or display materials must not interfere with other Exhibitors. The Organizer reserves the right to restrict types of exhibits and types of exhibiting at its sole discretion and without refund.

Force Majeure: The parties’ performance under the Agreement is subject to acts of God, war, government regulation, terrorism, disaster, strikes, civil disorder, curtailment of transportation facilities, or any other circumstance beyond the parties’ control, making it inadvisable, illegal or impossible to perform their obligations under the Agreement or, in the case of Organizer, would as a practical matter prevent the majority of registered attendees or exhibitors from traveling to the meeting on the dates specified.

Inclement Weather: Exhibitor understands and agrees that there is a possibility of inclement weather that could affect attendance at the show or even force cancellation. Exhibitor agrees to assume all risk for financial or other loss due to weather conditions (including cancellation). No refunds will be provided in the event of weather-related cancellations or reduced attendance. Exhibitor can choose to insure against this possibility on his own.

Listings and Promotional Materials: By exhibiting at the Event, Exhibitors grant the Organizer a fully-paid, perpetual non-exclusive license to use, display and reproduce the name of the Exhibitor in any directory listing of exhibitors and to use such names in promotional materials. The Organizer shall not be liable for any errors in any listing or descriptions or for omitting any Exhibitor from such materials.

Assumption of Risks & Release: Exhibitor expressly assumes all risk associated with, resulting from or arising in connection with Exhibitor’s participation or presence at the Event, including, without limitation, all risks of theft, loss, harm or injury to the person (including death), property, business, or profits of Exhibitor, whether caused by negligence, intentional act, accident, Act of God or otherwise. Exhibitor has sole responsibility for its property or any theft, damage or other loss to such property (whether or not stored in any courtesy storage area), including any subrogation claims by its insurer. Neither Organizer nor the venue accepts responsibility, nor is a bailment created, for property delivered by or to the Exhibitor. Neither the Organizers nor the venue nor any of their respective officers, directors, shareholders, agents, employees, representatives or assigns, shall be liable for, and Exhibitor hereby releases all of them from, and covenants not to sue any of them with respect to, any and all risks, damages and liabilities described in the paragraph.

Insurance & Liability: Exhibitor shall be fully responsible to pay for any and all damages to property owned by the venue (e.g., Hotel) and/or the Organizer, its owners or managers which result from any act or omission of Exhibitor.

Copyrighted Materials: Exhibitors shall not play or permit the playing or performance of, or distribution of any copyrighted materials at the Event unless it has obtained all necessary rights and paid all required royalties, fees or other payment.

Safety, Fire and Health: Exhibitor agrees to strictly observe all Federal, State and City laws. It is the Exhibitor’s responsibility to secure any necessary licenses, permits, or approvals under Federal, State or Local law applicable to its actives at the Event. Any sales of goods and/or services on the show floor may be subject to State and/or Local vendor licensing. Exhibitor shall construct exhibits to comply with the American with Disabilities Act (ADA).
